Business Management Management System Applications In the modern society, there exists a variety of Information Technology applications that can be adapted by the managers to govern their businesses effectively. Enterprise Resource Planning (ERP) provides the use of integrated software’s modules which contain numerous databases that the managers can employ in planning, controlling and managing of the core business activities irrespective of their locations. ERP system modules contain production function, HR function, accounting, distribution, marketing and inventory management functions (Hatten, 2012). In Hatten (2012) Knowledge Management System (KMS) can assist the managers to collect, organize, record, retrieve, and disseminate information. The Knowledge Management System manages accounts records, the company’s or business practices, documents, operational skills and the unrecorded procedures. The management system can be used in acquisition and the creation of knowledge, executed from the internal management processes as well as from the external environment. The collected information can then be integrated in the company’s policies and procedures so as to facilitate the dispersion of information to the various stakeholders. Supply Chain Management abbreviated as (CRM) is a management system which can help the managers to govern business interactions with its existing customers and the organizational operations namely service, marketing and sales (Hatten, 2012). Another management system application that can be employed by the managers is the Supply Chain Management (SCM). Based on Hatten (2012) the system facilitates effective management of a supply chain through the integration of its components. The core players or components of the supply chain include the final customers, the manufacturers, retailers and the wholesalers. The system provides a cost effective means of managing the supply chain. Interpersonal Skills According Hatten (2012) Interpersonal skills refer to the life-skills managers’ use in the communication and interaction with their employees. Managers use decision making in the planning and execution of key business functions to achieve business objectives. Successful managers usually employ decision-structuring so as to minimize business complications and deadline failures. Successful managers usually use negotiation in settling of the organizational challenges. Negotiation prevents work disputes and stoppages reached through the formation of an agreement. Successful managers strive to strike the best option in settling a disagreement (Hatten, 2012). Some of the ineffective managers fail due to lack of proper listening skills. Hatten (2012) stipulates lack of effective listening skills can arise out of bias, misjudgments, prejudice, use of emotions, physical appearance among other vices. Managers who uphold judgmental and misconceived listening skills usually end up as failures in their management style. Hatten (2012) asserts that successful managers are assertive as opposed to aggressive employed by ineffective managers. Assertive managers are more passive and non-aggressive when interacting their junior staffs. Assertive approach provides a balanced and open environment within the business, leading to effectiveness and communication between employees and the management. Ineffective leaders believe do not employ communication in their management style. The leaders lack clarity in their speech, are commonly impatient and impolite when addressing issues. Other ineffective managers lack non-verbal communication skills like eye contact and facial expressions. The lack of the basic skills creates tension and disunity within the work environment. Ineffective managers tend to embrace the autocratic form of leadership (Hatten, 2012). Entrepreneurship According to Hatten (2012) it is the willingness and capacity to create, manage and organize business adventure irrespective of the available risks, so as to realize a profit. Entrepreneurship promotes innovation in the operations of the small businesses. Innovation is achieved through the existence of quick decision making procedures which results in the creation of new processes and ideas. Entrepreneurship enhances competition between small businesses. The entrepreneurs create competition between the existing small business owners. The consumers hence benefit through the existence of products varieties at reduced prices. Small business entrepreneurship also has a trickling effect which pushes the established firms in the improvement of their products and services (Hatten, 2012). The entrepreneurship also creates employments in the small business firms. Hatten (2012) adds entrepreneurship also stimulates employment rates in the industry through the creation of new jobs. It leads to the creation of new jobs which indirectly reduces social challenges like crime and poverty levels within the nation. Entrepreneurship further leads to increase in production. The small businesses struggle for market share promoting competition. Competition ideally enhances production in terms of variety in goods and services. The small businesses increase market output forcing the incumbent companies to produce better commodities or face the inevitable extinction (Hatten, 2012). Entrepreneurship influences small businesses to execute structural changes. The existing businesses usually struggle surviving to the new market conditions stimulated by the small businesses. Failure to adjust to the new market conditions, the old companies may end being trapped in their present positions. The exit of old companies and entrance of the new companies creates new markets (Hatten, 2012). Time Management Effective time management assists managers to make better decisions. Managers are normally faced with a variety of business choices to make in the course of their duty. Effective managers’ practice pre-planned time management so as to make informed and adequate decisions (Hatten, 2012). Time management fosters discipline among the managers. Managers who manage their time effectively are unlikely to be procrastinated. It promotes the spirit of control and awareness leading to greater performance within his level as well as the people he influences. It further formulates a pattern of behavior leading to consistency (Hatten, 2012). Based on Hatten (2012) successful managers employ time management to reduce work stress. Managers are usually bombarded with tasks leading to job stress. The managers usually have their set targets which can turn stressful in execution in relation to time. Successful managers however avoid such challenges due to proper management of their time. Time management promotes quality work for successful managers. Successful managers implement time management skills in order to accomplish more tasks at shorter time periods. The managers’ occasionally have a preplanned flow of activities leading to concentration and standardization of the output (Hatten, 2012). Effective time management promotes multitasking for the successful managers. They minimize time wastage creating more time to accomplish other vital activities. Successful managers who practice strict time management are frequently involved in other tasks simultaneously. The process encourages better utilization of time and effort. Successful managers normally have the ability to influence their employees easily in coping and implementing the virtue in their normal activities (Hatten, 2012). Delegation It reduces employees’ workload. Delegation assists the employees to share responsibilities leading to productivity due to the reduction of backlog and work stress. The employees get time to concentrate on the specific task which in turn promotes standardization of the final product (Hatten, 2012). Delegation between the employees enhances organizational growth. Hatten (2012) adds sharing of tasks between the employees necessitates division of work within the company. Division of work promotes specialization due to effectiveness within the system. Specialization increases the company’s efficiency and profits, leading to the expansion of the company in the short and long run. Delegation improves the employees’ motivation in tasks accomplishments. Through delegation of the activities, the employees get the feeling of trust and belongingness leading to improvements in employees’ attitudes. Employees’ motivation has the benefit of creating self drive, team work and punctuality, making the workers to produce more. Motivation is a non financial incentive that can be cultivated by the management to maintain and improve productivity (Hatten, 2012). Hatten (2012) confirms delegation fosters hierarchy in the management structure. Through the delegation of tasks by the management to employees, the employees get to learn on the tasks and features of the position. Delegation is an on job training which promotes gradual succession; furthermore, the company can cut costs on the unnecessary external training. It promotes coordination within the work environment. Hatten (2012) confirms delegation cultivates systematic pattern of activities, which produces responsibility within the employees. Division of work prevents duplication of activities which further streamlines reporting procedure, additionally, prevents work stoppages, disputes and time wastage within the organization.
