Personal reflection Despite hosting the world cup, South Africans are yet to feel the promised impact of improved economic conditions in the country. I agree that hosting the event was not worthwhile for a nation like south Africa where divisions along class and racial lines is still a threat with majority of the black South Africans still living under intense poverty yet the country still has to repay the money spent to host the one month world cup event. Comments The presentation of information on the world cup is from different sources all of which are consistent in their facts, figures and theory. These secondary sources have reliable information since they are renowned media in the world which focus on reliable information. II. Presentations SWOT Analysis From previous presentations, we have identified numerous lessons which we have classified as strengths and weaknesses and from which we have identified the threats and opportunities for improvement. Strengths In most presentations, visual aids were missing. However, for groups that used visual aids, their performance was exemplary and the communication of their points was very effective (Duarte 2008). Through the use of visual aids like pictures and graphs, communication, PowerPoint presentations act the same way as communication delivered over multiple channels and this way, the whole picture as intended by the presenter is delivered (Duarte 2008). Visual aids in any presentation presents the reader with the platform to interact with the audience since the audience can make visual connections to an abstract idea. It has also come to our notice that it is not beneficial to assume that the audience will be interested in what one is to say and if they were, distractions are likely to occur during the presentation and cause the mind to wander (Stroz and English Language teachers 2002). As a result, it is necessary to ensure that the audience’ interest is aroused from the beginning to the end. In the introduction, the presentations that used attention getters and that demonstrated how the subject affects the lives of the audience is likely to have the attention of the audience till the end as the audience seeks to answer questions they have or that arise from the presentation (Stroz and English Language teachers 2002). Other attention getting strategies involve the use of rhetoric questions and use of emphasis like repetition, auxiliary verbs, and stress verbs. The volume and the tone of the presenter must also be appealing. For the best presentations, the presenters lowered their voice to draw the attention of the audience and only raised the volume to make a point (Clark 2011). In addition, the best presenters had the tone of their voices free from the feeling of fear, tension and uncertainty as this would tend to frighten the audience. Conversely, a voice that is characterized by laughter gets the audience smiling. As a matter of fact, the voice is important in indicating meaning and creating an atmosphere to follow on (Clark 2011). Creativity is very important in ensuring that the audience is provided with monotony that would put the audience to sleep. During the presentations, there was a case of talking too fast from one of the presenting groups and this pace saw the audience lose interest and kept calling for the presenter to pardon (Grant-Williams 2002). Weaknesses Given the constraints like time to present and prepare for the presentation, most presentations concentrated on the content and forgot to use examples to emphasis their points. We expected that group presentations would use stories or real-life examples to fully engage the audience (Mind tools 2013). In addition, most presentations did not welcome statements and questions from the audience while some presentations that allowed questions did not have sufficient time to deal with more than two questions. There was one group where the audience asked questions and the presenter was unable to substantiate her claims which left the audience unable to trust what the presenter had and did not respect it. In most cases, the audience can heckle the presenter to have him or her stop. In order to deal with time, some presentations demonstrated lack of familiarity with the content since they had dedicated much of their time to memorize their presentation which made the presentation appear rehearsed and less genuine. Opportunities Apart from focusing on the time constraint for the presentation, presenters should dedicate more time to build confidence such that they can speak comfortably and fluently and adjust as necessary. Through practice, presenters can familiarize with the content and understand it well enough to answer any arising questions or statements and win the interests of the audience (Kiem and Ludin 1995). As a group, the presenters should also understand that the use of visual aids like images and photographs could emphasis on different points. In order to avoid incidents of boredom and lose of interest during the presentation, presenters should plan to have a presentation that emphasis the overall message with just enough visuals since too much charts, pictures or graphs lose the meaning and intention of the presentation (Veer 2007). From previous presentations, it has come to notice that some groups had the presenter panic and demonstrate failure to manage their stress levels as demonstrated by their poor presentation and inflexibility. Presenters should plan to use physical relaxation techniques like calming the body and easing tension, and deep breathing and visualization (Lehman and Dufrene 2010). Presenters should also plan to turn their nervousness into creative and enthusiastic energy. Another strategy involves practicing in the presentation room as a way of building confidence and identifying the source of risks like the location and height of the microphone, the nature of the stairs and others (Lehman and Dufrene 2010). During the presentation in the presentation room, it is important to test timing and identify areas in the presentation that should be improved in order to meet the required time frame. With the knowledge of how much time each part of the presentation takes, then it is possible to plan for the statements and interaction with the audience during the presentation (Veer 2007). In order to avoid being overwhelmed, presenters should focus on using the strategy of just gazing above the eyes of the audience for few seconds to assist in collecting thoughts. Another strategy would be to use keywords for each main point in each slide such that it would be easy to remember what to discuss under it. Threats During the presentations, it is possible to experience nervousness which is normal for any human being. As a result, the presenter may end up coping effectively with the anxiety or panicking (A&C Black Publishers and Russel, 2010). Given the threats, the presenter should aim at delivering an effective presentation by not trying to totally eliminate the anxiety but retain it at a manageable level. In addition, it is possible for the presenter to jump to conclusions about how the audience reacts towards the presentation. However, the presenter should always motivate self by believing that they can do it.
